My Family Story Vault

1.3 In-Person Video Capture: At events, our team may record a short video story with your verbal consent, using a phone and our internal capture tool. This creates a private, unlisted preview page which is accessible only to someone with the direct link or QR code we provide (it's not searchable or publicly listed) where the video, its transcript, and the name, relationship and note our team entered about the story's subject can be viewed. This video preview page and the underlying recording and transcript are automatically deleted 30 days after capture unless claimed by creating an account.

1.4 Non-Personal Information: We use Umami analytics, a privacy-focused analytics service that collects aggregated, non-personal data about website usage without tracking individual users or storing personal information.

1.6 Automated Transcription: When you upload audio or video, we automatically create a written transcript of the spoken words using Google Cloud Speech-to-Text. We store the transcript with your media so you can read along, use captions and search your library by what was said. Transcripts are generated by automated speech recognition and may contain errors. Transcripts follow the same privacy settings as the media they come from and are deleted when that media is deleted.

We collect and use your personal information for:

• Order processing
• Plan subscription management
• Service delivery and customer support
• Delivering the free tools described in Sections 1.2 and 1.3, and following up with visitors who use them (for example, an email with your generated questions or a link back to your in-progress tree, timeline or video)
• Processing the media you upload so it can be viewed and searched, including converting file formats, creating thumbnails and generating transcripts of audio and video

We do not sell, rent, or trade your personal information with any third parties. We share personal information only with service providers who help us operate the Service, solely for the purposes outlined in this Privacy Policy:

• Mailgun, for transactional and follow-up emails
• Stripe, for payment processing
• MongoDB, for data storage
• Google Cloud, for storing your media and processing it, including file conversion and speech-to-text transcription

Under Google Cloud's terms, Google processes this content only to provide its services to us. We have not enrolled in any Google program that would allow your audio or transcripts to be used to train or improve Google's products. Google may temporarily retain a transcript for a few days while processing completes, and it does not store the input audio.

We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure or destruction.

We retain your personal information only as long as necessary to provide you with our Service and for legitimate business purposes, including compliance with legal obligations. Data submitted through the Story Interview question generator, the Family Tree Builder and the Timeline Map free tools, and the in-person video capture tool is automatically deleted 30 days after submission or capture if it is not claimed by creating an account. Content you upload, including transcripts, is retained while your tribute page is active and is handled as described in our Terms of Service if your subscription or Tribute Lite term ends. When you delete a media item, its transcript is deleted with it.

Our Service is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will take steps to delete such information.

You have the right to:

• Access your personal information
• Correct inaccurate information
• Request deletion of your information
• Withdraw consent for data processing
• Delete any media you uploaded, along with its transcript

Our Umami analytics service uses minimal, privacy-respecting tracking that does not identify individual users and does not use cookies that track personal information across websites.

We may update our Privacy Policy from time to time. Users will be notified of any changes via email. We encourage you to review this Privacy Policy periodically for any changes.
